The Annual General Membership Meeting of the Akhal-Teke Association of America, held at Hampton Inn, Whitestown, Indiana<\/p>\n

Starting Saturday, September 19, 2015 at 9 am
Called to order at 9:14<\/p>\n

Roll Call:\u00a0 Present:\u00a0 Pat Johnston, Cathy Leddy, Jas Shearer-McMahon, Betsy Wandler, Catrina Quantrell, Eron Owens, Madeline Lucroy, Caroline Dudkowski, Tish via Skype.<\/p>\n

Reading of unapproved minutes of the previous General Membership Meeting and taking any necessary actions, Secretary, Cathy Leddy<\/p>\n

Motion:\u00a0 Betsy motions to approve 2014 meeting minutes.\u00a0 Jas seconds.\u00a0 Approved.
<\/strong>
Presentation of Officer and Committee Reports:<\/p>\n

President\u2019s Report \u2013 Catrina Quantrell- We are a small group, but it was a good BOD year, lots of good conversations.\u00a0 We had our first Conference call and it was a success.<\/p>\n

Treasurer\u2019s Report- Amrita Ibold (read by Cathy Leddy and Catrina Quantrell) \u2013 We should start on next year\u2019s budget in November.\u00a0 Have budgets for standalone events, such as the Rare Breeds Show.\u00a0 Report: Beginning balance in checking of 568.63 \u00a0Income as of 9\/14\/2015 5283.88, Expenses 3170.11 = 2113.77.\u00a0 Savings on 1\/1\/2015 4611.47 + 800 transferred = total in savings 5512.59 balance 9\/14\/2015, CD of over 10,000 still in bank.\u00a0 Total assets as of 9\/14\/2015 = 17,000?<\/p>\n

\u00a0Secretary\u2019s Report \u2013 Cathy Leddy \u2013 all filings have been done on time, including insurance, annual report, IRS, etc.<\/p>\n

Registrar\u2019s Report \u2013 Amrita Ibold (read by Cathy) 52 finished certificates as of 9\/14\/2015, including registrations and transfers.\u00a0 We have about 20 new pendings (from 2014 and 2015) that need more information to complete.\u00a0 At this point, if all information is sent in correctly, we issue certificate as soon as we get DNA results back.<\/p>\n

Website Report \u2013 Amrita Ibold- Cathy read Amrita\u2019s report \u2018Biggest change is Betsy Wandler taking over the color page.\u00a0 She did a great job updating it.\u00a0 The news page I have neglected.\u00a0 It would be great to have a volunteer take over the news page.\u00a0 On Facebook, Cathy is doing a fabulous job having daily news.\u00a0 I know not everyone is on Facebook, so having the News page updated as well is important to keep the website fresh.\u201d\u00a0 We then discussed:\u00a0 have website archives to research links, such as other websites, old links such as The Turanian horse website.\u00a0 We\u2019d need to cache these sites so links don\u2019t go bad.\u00a0 Caroline offers to research old Teke links.\u00a0 Eron asks for a PDF of all addresses in the registry.\u00a0 Cathy thinks she can do that, not sure.\u00a0 Cathy bought the domain name akhaltekebreeders.com as it\u2019s on the brochures we send out.\u00a0 Pat suggests we buy akhaltekebreeders.org also.\u00a0 We talked about articles on site and in newsletter about sporthorses.\u00a0 Pat mentioned Molly\u2019s article in ALBC news, will send to Cathy (almost exactly what we published in the October 2014 issue of the ATAA newsletter).\u00a0 Will put on the website. Pat asks if we are ready to have a marketing person look at our website and give us ideas.\u00a0 We say yes, Pat will ask her contact to do a quick pro bono look and give us feedback.\u00a0 Idea of a map where locations of Tekes (ATAA registered or not) can be put up so people can find horses near them.<\/p>\n

We then talked about membership \u2013 some members feel that sporthorses are treated as second class citizens \u2013 discussion on how to talk about them \u2013 Jas will try to contact Jon Hockensmith, photographer for Rare Breeds show (?).\u00a0 Suggestion of grading for sporthorses alongside purebreds.<\/p>\n

Newsletter Report- Cathy Leddy \u2013 published 3 issues so far this year, would like more input from membership.
Awards Committee- Catrina Quantrell\/ Betsy Wandler- We talked about Incentive Awards \u2013 maybe do another email blast, could put ad in USEA magazine about awards.\u00a0 USDF still very difficult to go through \u2013 expensive and complicated. Catrina getting and sending out clarification emails to people.\u00a0 We should revisit \u2018sanctioned\u2019 vs \u2018non sanctioned\u2019 shows.\u00a0 Tish suggests 2 categories: sanctioned and non-sanctioned.\u00a0 Pat suggests including all competitions.<\/p>\n

Motion:\u00a0 Cathy motions to revisit Incentive Program Directives after the 1st of the year.\u00a0 Send an email to the membership about this.\u00a0 Catrina seconds.\u00a0 Approved.

Member awards \u2013 Catrina had to be the tie-breaker on several categories.\u00a0 Betsy asks that people say WHY they nominated people.\u00a0 Have another awards blurb in newsletter with criteria (which we have published almost every newsletter)<\/p>\n

Promotions Report \u2013 Tish Saare \u2013 The DVD is out, we spearheaded a KHP breeds day in May, only 2 participants.\u00a0 Should we put the DVD on Ebay?\u00a0 Tish has had no luck getting hold of KHP gift shop.\u00a0 Cathy will try to contact Cindy S on Facebook to see if she can talk to them.\u00a0 Need to get our website shop up and running with Paypal buttons.\u00a0 Send DVDs to libraries.
Catrina suggests $150 box of promotional materials with DVDs, brochures, CD w\/PDFs \u2013 discussion of having a $75 box and a $150 box.\u00a0 Can put this on Store Page with Paypal button.\u00a0 People can get a box for their $150 promotion money OR buy the box and we will put the $150 or $75 back into Promotions.\u00a0 Cathy and Tish will figure it out and bring to BOD for approval.\u00a0 Pat suggests the 2 sizes, $75 and $150 including shipping \u2013 use Flat Rate box?\u00a0 Only applicable in continental US, will need to go on a case by case basis in other countries.<\/p>\n

Nomination and Elections Report \u2013 Jas Shearer-McMahon\/ Pat Johnston \u2013 3 nominees for 2 posiitions, Amrita Ibold, Tish Saare and Joanne Hodeen.\u00a0<\/p>\n

Passing of Ballots, voting and announcement of New BOD members, Jas Shearer-McMahon\/Pat Johnston: Jas counted votes, new BOD is Catrina, Jas, Cathy, Betsy, Pat, Amrita and Tish.\u00a0 Thank you to all candidates for being willing to serve!<\/p>\n

Farm Reports during ballot counting<\/p>\n

Silent Auction-Cathy Leddy \u2013 we made $965 on Silent Auction. Jas suggests we use money from Silent Auction to defray cost of Conference.<\/p>\n

Old Business<\/p>\n

Logowear for sale:\u00a0 Put each on website with Paypal button.<\/p>\n

What else to do to retain members\/get new ones? Discussion of retaining members and getting new ones.\u00a0 We need to shift emphasis to being about the horse, not what we give members.\u00a0 Have had several not renew this year as they weren\u2019t \u2018getting enough for their money\u2019.\u00a0 Need to be more about promotion of the breed, what members can do for the breed.\u00a0 For next year\u2019s General Membership Meeting, Jas suggests we change the names of the membership levels to: Member (now called Friends), Owner Member (now called Individual) and Ranch Member (Ranch and Family now).\u00a0 No junior membership anymore.\u00a0 Think about letting international members onto committees.\u00a0 These will be bylaw changes so will need to be done at meeting next summer per our bylaws.<\/p>\n

Ask Gus if DNA can match offspring to grandparents?\u00a0<\/p>\n

New Business<\/p>\n

Survey and Results \u2013 Cathy read Survey and results, will put on website also.\u00a0 Pat suggests that Survey guides our discussions on BOD \u2013 preface results with actual things we have refocused because of member replies in survey.\u00a0 Refocus some of our attention.<\/p>\n

Pat asks when last time website has changed \u2013 possible to update image on front page?\u00a0 Been the same since 2012? Logo needs to be there.\u00a0 Survey is a good tool for future projects \u2013 use sparingly but listen.<\/p>\n

Talk of how to make Conferences better attended \u2013 have with major events, such as Rare Breeds show, Expos and\/or?\u00a0 Also talked about possibly going overseas for Conference in conjunction with something like the European Championships \u2013 airfare would be about the same as middle America.<\/p>\n

Eron suggests Flickr account for large amounts of photos.\u00a0 Discussion of just using Facebook for this.\u00a0
Awards and what people want:\u00a0 member ideas?\u00a0 Next year awards?\u00a0 When?\u00a0 As Rare Breeds show is in the middle of the c
\nompetition season, how to do ATAA awards?\u00a0 Award Committee to work up proposal.<\/p>\n

2016 Rare Breeds Show: decided to do Meet and Greet with all show participants, AMG meeting will be Tuesday 6-10 pm.\u00a0<\/p>\n

Motion:\u00a0 Eron motions that we take Victoria up on the offer of Conference rooms at the Virginia Horse Park for our meeting next year.\u00a0 Tish seconds.\u00a0 Approved.

Talked about having a trail\/obstacle class \u2013 ridden and in-hand, classes to be figured out by Show committee over the next few months.\u00a0<\/p>\n

Rare Breeds Show Committee:\u00a0 Eron Owens, Cathy Leddy, Tish Saare, Madeline Lucroy, Amrita Ibold and Caroline Dudkowski.\u00a0<\/p>\n

2016 Annual Conference- should it go to every other year- Pat suggests every other year and plan ahead.\u00a0 Could do video conferencing.\u00a0 Should have a personal invitation from the host, early payment discounts.\u00a0 Pat suggests a \u2018Best Practices\u2019 from other Conferences and hosts to help upcoming hosts.\u00a0 Suggestion of opening speakers to local people.\u00a0 Structures, checklist and going on local listserves to publicize.\u00a0<\/p>\n

Strategic Plan- Pat suggests we look backwards and do a 10 year accomplishment retrospective to let people know what we\u2019ve done.\u00a0 Cathy and Pat will start with an outline and fill in contents.\u00a0 Celebrate what has worked.\u00a0 Pat suggests that BOD be actively involved.\u00a0 Pat will facilitate.\u00a0 Tish thanks Pat.\u00a0 Need something short for a website retrospective \u2013 powerpoint?\u00a0 Look into website form and function.<\/p>\n

Should we offer PDF Membership Directories and Bylaws to cut down printing and postage costs?\u00a0 Discussion: Send snail mail only to new members, not renewing members?\u00a0 Idea:\u00a0 for 2016 regular mailings but let people opt out of receiving snail mail via email.\u00a0 Or, regular mailings and let them know in packet they can opt out.\u00a0 <\/p>\n

Talked about window clings, suggested by Jennifer Newman, talked pricing, BOD will look into and decide for 2016.\u00a0<\/p>\n

For 2016 \u2013 send out last packet saying we\u2019re going electronic?\u00a0 Opt out via email, savings will help us promote breed, go green.<\/p>\n

Breed Standard and Grading; Pat will gather and send to committee to start procedure.<\/p>\n

We need to copy old Conference tapes onto DVDs \u2013 find them first!

  3. Cathy and Tish will figure out promotion boxes and bring to BOD for approval – $75 and $150<\/strong><\/li>\n

Pat agreed to start a process of developing a 10 year report. \u00a0This is similar to an annual report, but capture 10 years of accomplishments. \u00a0The first step will be a framework to seek input from other board members to capture accomplishments. \u00a0Everyone should be thinking about what the ATAA has accomplished over the last ten years. \u00a0<\/strong><\/li>\n
  9. Cathy suggests something short for the website \u2013 Powerpoint on the 10 years report?<\/strong><\/li>\n
  10. Pat agreed to start a strategic planning process. \u00a0Part of strategic planning is \u201clooking back\u201d to inform moving forward. \u00a0The 10 year report will help as a foundation to build the strategic plan and thinking forward.<\/strong><\/li>\n
